Uncovering the Distinctive Features of Dexit’s AI Patient-document Matching
Dealing with healthcare document management challenges is no small feat, especially when patient matching …
According to a 2023 HIMMS survey, nearly 65% of health systems lack medical images and other unstructured information at the point of care. Due to this, HIM staff feel the strain when trying to promptly respond to non-patient, large-volume requests.
Utilizing digital Release of Information (ROI) reduces the burden on your staff, by allowing them to focus on complex requests and ultimately patient care.

Using a simplistic approach to user experience, Dexit ensures users are able to understand each screen’s context with ease. Clicking the “New ROI” button brings users quickly to the Release Form where they are able to provide the appropriate details about the release. As always within Dexit, the Release Form is completely customizable to adhere to an organization’s already established ROI reporting workflows.
Dexit’s intuitive ROI workflows and simplified UI makes the overall release process easy and accessible. Users who have the appropriate security access are able to access the ROI module easily from the general navigation menu.

As always within Dexit, the Release Form is completely customizable to adhere to an organization’s already established ROI reporting workflows.
Img 3: Dexit also enables users to upload the ‘release of request’ document that the organization received. This establishes firm evidence of why users released the information that they did, ensuring future accountability and transparency.
Another aspect of accountability and transparency that hospitals and health systems within the United States must comply with is the ability to provide an accounting of all information disclosures for every patient for up to six years. In simple terms, this means hospitals and health systems must be able to inform the patient of the details of their PHI release, including chronological accounts of the date. Within Dexit, this requirement is easy to meet as all releases of information are minutely documented and easily exported for just this purpose.
Prior to initiating the ROI workflow, HIM users can utilize Dexit’s robust search feature to review documents, encounter, and patients. This allows users to determine exactly what should be released without having to backtrack through the ROI workflow if they identify something is missing or not available yet. Dexit further customizes the search functionality through the larger tab at the top (Img 4), by allowing users to search for numerous patients simultaneously or documents created on a certain day or by a certain user.

Upon completion of the ROI workflow, all final ROI files can be viewed in the release of information logs.
Fax is still used prevalently in the United States, and currently tends to reduce the pace of ROI processes. A 2021 Bloomberg report shows that nearly 70% of healthcare providers exchange medical information through fax. Even in 2023, those numbers have not decreased much.
Dexit’s built-in fax capability is designed to circumvent the dependency on physical fax machines. HIM users save significant time and effort by using Dexit’s fax capabilities in the ROI process, by allowing the finalized file to be automatically faxed to the recipient, if requested. This also bypasses the previous need for downloading and printing the ROI file, which also tightens security around potentially vulnerable PHI.
Img 6: Users who have the correct security clearance click the fax icon to open the fax management interface.
Img 7: At a glance, the clean UI shows which faxes are inbound and outbound to the organization.
Here users can also upload a phone number to forward the faxes in case the delivery fails, saving users the trouble of starting a fax from the beginning in case issues arise.
The inbound screen also points out to the queue the fax has been assigned to. Through Dexit’s robust system customization, system administrators are also able to automatically designate receiving work queues for any faxes inbound to a specific fax number. This workflow effectively eliminates the need for physical fax machines, while also safeguarding PHI.
From adding customizable cover pages to naming documents and delivering status updates about faxes, Dexit eases the ROI processes with simple but significant improvements to the healthcare DMS user experience.
Besides a great UI, intuitive workflows, ease of use, and security (both in terms of user access and data security), Dexit has other specific functionalities that are guaranteed to boost the pace of your ROI process:
Entire Patient Export: Dexit simplifies the Release of Information (ROI) process by allowing users to export the entire patient document list effortlessly. This feature ensures that nothing is missed when fulfilling information requests, providing a comprehensive and reliable source of patient data.
Individual Data Item Export: With Dexit, users can choose specific data items among various resources for export. This granular control enables healthcare professionals to share only the necessary information, enhancing privacy and reducing the risk of unnecessary disclosure.
Encounter-Based Export: Dexit streamlines the ROI process further by enabling users to selectively extract data related to a specific encounter or date of service. This targeted approach ensures that the requester receives precise and relevant information, improving the efficiency of information retrieval.
Requester Information Form: Dexit offers a customizable form for capturing requester details and reasons for patient data export. This feature helps maintain transparency and accountability and ensures that requests are legitimate and compliant with healthcare regulations.
Release of Information Logs: Dexit maintains a comprehensive log of all completed exports, providing a complete audit trail. These logs include patient information, user details, and timestamps, which are essential for tracking the release of patient data, monitoring compliance, and addressing any potential security or privacy concerns.
Accounting of Disclosures: In addition to its logs, Dexit can also display records from other source systems outside its environment. This integration capability allows for a centralized view of all disclosures, simplifying the auditing process and ensuring nothing is overlooked.
